Orange Success Terms of Use

I. Preliminary Statement

These terms govern the use of the enterprise advising system known as Orange Success and built upon the Starfish EARLY ALERT™ and Starfish CONNECT™ systems. Users enter and share information about students’ academic performance and other issues related to advising. All system users are responsible for reading, understanding, and abiding by these terms. Access to the system and the information it contains is a privilege and requires that individual users act responsibly to preserve the integrity and privacy of student records. These terms outline what kinds of information should and should not be shared on the system, the rules for permissions and access, and the expected purposes and uses of the information shared on the system. When early alerts (flags and kudos) are raised manually, automatically, or as part of a survey (ESPR & MSPR) by the faculty/TA, email notifications are sent immediately to the student and the support staff from the flag raiser. (Exception to this process occurs when the “Non-Academic Concern” Flag is raised). By using the enterprise advising system Orange Success, you agree to the terms set forth herein.

II. Reason for Terms/Purpose

The purpose of these terms is to govern the ways in which students, faculty, and staff may use the Orange Success enterprise advising system, and to address important questions about privacy and access to information stored on the system. The Family Educational Rights and Privacy Act of 1974 (FERPA) provides information about what student records may be shared, to whom, and under what circumstances. University policy regarding FERPA.

III. Terms of Use

Acceptable Use of Orange Success
The enterprise advising system provides a mechanism to enhance communication among faculty and staff concerning students’ academic performance. To enable this function, users place factual information (not assumptions or observations) pertaining to academic performance on the system to share with other users who are involved in promoting student success. The system provides a mechanism for faculty and staff to raise alerts about non-academic issues or concerns.

Prohibited Use of Orange Success
Orange Success enterprise advising system may not be used in any way that violates laws, regulations, University policies, or these terms. In addition, Orange Success should not be used to report emergencies, academic integrity issues, student or employee conduct and/or health and wellness issues. Emergencies should be reported to 911 or the Department of Public Safety (DPS) Emergency Communications dispatch center at 711 or 315-443-2224. Violations of the terms of use may result in disciplinary action, including dismissal from employment, suspension or expulsion from further study, and termination or suspension of use of the Orange Success advising system.

Privacy and Access
Faculty and advisor notes created and maintained in Orange Success are to be kept in accordance with FERPA, University regulations, and these terms. University staff members have access to information on the Orange Success system based on approved security granted with their associated roles and with the expectation that FERPA training has been completed. Starfish is not intended to be the primary repository and therefore not subject to University retention policies. Access to the student record is lost after a student graduates.

Users should only access information on the system that pertains to students for whom they have professional academic responsibility. This includes, but is not limited to, instructors for whom the student is enrolled in one or more of their courses, faculty or staff advisors who have responsibility for a student’s academic plan and progress, administrators in a student’s home school/college or school/college of dual enrollment and other administrative offices, consistent with the University’s Information Technology Resources Acceptable Use Policy. Users who do not have responsibility for a particular student’s academic plan or progress should not access that student’s information.

Information stored on the enterprise advising system should not be shared except as permitted by FERPA which allows sharing of records among “school officials” who have a “legitimate educational interest.” In general, a student has a right to review any academic information created that pertains to him or her. Procedures: All procedures are listed on the Orange Success website. The University reserves the right to modify the procedures as needed.

Definitions:

Starfish EARLY ALERT™, the early warning and student-tracking module of the Starfish platform, collects information and manages concerns about students’ academic performance.

Starfish CONNECT™, the online appointment scheduling and case management module of the Starfish platform, facilitates contact between students and their advisors, instructors, and individuals involved in support services.

Starfish Analytics™, based on the PAR Framework these tools are now part of Starfish, which include the Student Success Matrix (SSMx), the Intervention Inventory, and Analytics (operational and strategic) reports. The SSMx is a classification scheme of retention and credentialing predictors that the PAR Framework assembled from the student success research literature and its own multi-institution data sets.

• Operational Retention Scores are used for short term, ongoing outreach and intervention activities. These term-based scores predict how likely students enrolled in the current term are to retain or complete within 12 months from the end of the term. Also available are details on the significant risk and success factors influencing a student’s score. The Score and the most significant Score Factors can change daily and are displayed in the Starfish Student Folders.

• Starfish Analytics Reports help you to guide actions across identified student groups based on specific risk factors. Each report has a series of dashboards that provide focused perspectives of the data being reported.

Blackboard™ integration provides academic advisors insight to targeted course participation and progress. This feature securely provides advisors a summary of the user, discussion, course, gradebook, attempt, forum, and conference information from the Blackboard for approved courses.

• Zoom In, provides faculty the new ability to select and flag students in Orange SUccess utilizing a secure API integration. This feature will provide faculty a tool to utilize the user, course, and grade book data from approved Blackboard courses.

• This feature enables faculty the option to “Filter” students by graded work within Orange SUccess. This feature will utilize the user, course, and gradebook tables from the Blackboard for approved courses.

Orange Success is the web-based advising tool which is the “rebranded” name for Starfish Early Alert and Connect systems.
